A manual task is a reminder you write yourself. It appears on the Work Board with the type Task. Use it for anything an automation does not cover, such as “call about the knee injury” or “send the new price list”.

Create a manual task

Open the wizard

On the Tasks page, click Create manual task. The wizard has three steps: Choose trainees, Create task and Confirmation.

Choose trainees

Tick one trainee or several. Each row shows the trainee’s trainers, or “Trainer: unassigned”.Search by name, phone, email or trainer name. The counter shows how many trainees you selected. Click Next step.

Create

Click the create button. One task is created for each trainee you ticked. The confirmation screen shows how many tasks were created and how many trainers they went to.
The text in Reminder to trainee (optional) is stored on the task and shown to the team. Creating a task does not send a push or a WhatsApp message to the trainee. To reach the trainee, use Send push or the SmartSend tab inside the task, or see Sending messages.
If you close the wizard after ticking trainees and before creating, Perform asks whether to discard. Nothing is created until the last step.

Assignment options

When more than one person is on a task, the first one is the owner. Everyone assigned sees the task. Only one of them needs to complete it, and it then closes for all of them. A trainee with no trainer gets a task with no assignee when you choose Responsible coach for each trainee. Tasks with no assignee show on everyone’s board.

Due dates

A task with a due date still appears on the board straight away. When the due time passes and the task is still open, it counts as overdue for its assignee in the Tasks by team member panel on the dashboard.

Other ways tasks are created

  • Automations open tasks when an event happens. See Automations overview.
  • The trainee list has a Create task action for the trainees you ticked. It uses the same fields as this wizard.
  • The AI Assistant can propose a task for one trainee or several. Nothing is created until you confirm. See AI Assistant.
  • Connected tools such as Make can create tasks with a studio API key. See Connecting Make and other tools.
