Actions are the steps of a flow. Add them from the Add action menu on the canvas. See Building a flow. A step that cannot do its job is skipped quietly and the flow moves on to the next step. Each section below lists when that happens.

Create task

Opens a task on the Work Board for the trainee the automation is about. The task type, detail line and priority come from the trigger and cannot be changed in the step. See Task types. A flow can have several Create task steps, for example one for the coach now and one for the manager after a Wait.

Push notification

Sends a message to the trainee’s app. The message is sent as a Coach message notification, so the title, sound and on or off setting come from that notification type. See Notifications control. The step is skipped when:
  • The text is empty.
  • The Coach message notification is turned off for the studio.
  • The trainee has no device registered for push.

WhatsApp message

Sends a WhatsApp message to the trainee’s phone number through SmartSend. Choose one of two modes.
A template approved by Meta is delivered even when the trainee has not written to you in the last 24 hours.When your studio’s SmartSend account is connected, the Template menu has two groups:
  • Your SmartSend templates are the approved templates in your own SmartSend account. Pick one and Perform loads its parameters. Fill in a value for each. A parameter that looks like a name is filled with the first name token for you. The message goes out from your studio’s own number.
  • Perform templates are four built-in templates: form reminder, subscription renewal, birthday greeting and weekly check-in.
The four Perform templates are still waiting for approval. A step that uses one of them is skipped and nothing is sent. It starts sending by itself once the template is approved. Until then, use a template from Your SmartSend templates or the free message mode.
The step is skipped when:
  • The trainee has no phone number.
  • The studio has not connected SmartSend, for a free message or one of your own templates.
  • No template is picked, or the message text is empty.

Webhook

Sends the event to an outside system such as Make, so the rest of the work happens there. See Webhooks for what is sent and how failures are retried.

Unlock content

Meant to open a hidden or locked content item in the trainee’s content library and mark it as new.
The content picker in this step currently lists sample items, not your studio’s own content library. A step built from that list opens no content. Leave this step out of your flows until the picker shows your own content.

Wait

Pauses the flow before the next step. After the wait, the flow continues with the steps as they are at that moment, so edits you make during the wait apply. Use a Condition after a Wait to check whether the trainee still needs the follow-up. For example: wait 2 days, then continue only if the trainee has not opened the app since the trigger.
A wait normally ends on time. An hourly safety check also resumes any flow whose wait has passed, so in rare cases a wait can run up to an hour longer than you set.

Splits the flow into branches. Each branch has a rule and its own steps. See Conditions.
