A response is one submitted form. It stores the trainee’s answers together with an exact copy of the questions as they were when the form was filled.

Where to find responses

  • On the trainee card. Open the Forms tab and scroll to Form history. Click View on any row.
  • In check-in tracking. Filled Intake form and Check-in forms appear in the queue. See Check-in queue.
  • On the work board. If your studio uses form tasks, a filled form raises a task that opens the same response.
The Responses column in the Forms list shows how many submissions each form has received.

Read a response

The response page is headed with the form name, the trainee’s name, when it was filled and how many pages it has. From top to bottom you may see:
  • Task handling notes. Shown once a coach has handled the form. It holds the note they wrote, their name and the time.
  • Summary and insights. A short AI summary of the answers, shown when one was generated for this submission.
  • Signed document. Shown for a document to sign. See Documents to sign.
  • The answers, grouped by page under Page 1, Page 2 and so on.
How each kind of answer is displayed: Questions that were hidden by a condition when the trainee submitted are not part of the response.

Photos

Click any photo to open it full screen. When a response has several photos, use Previous image and Next image to move between them without closing the viewer. The same viewer is used for photos in the check-in review.

Answers saved to the client card

Some fields have a Save to client card switch in the builder, on by default. When it is on, submitting the form also updates the trainee. Things to know:
  • Blank answers never overwrite what is already on the card.
  • The update happens right after the form is submitted. If it fails for any reason, the trainee’s submission is still saved.
  • Weigh-ins and photos created this way are marked as coming from a form, and they stay in the trainee’s history even if the response is later removed from the check-in queue.
  • Turn the switch off on a field when you want to ask the question without changing the card, for example a target weight.

Deleting responses

There is no button to delete a single response. Deleting the form itself deletes every response it has. See Delete a form. To clear a response out of check-in tracking without deleting it, use Remove from tracking on the queue. See Remove forms from tracking.
