Open Check-in Tracking from the menu. The screen is titled Check-in tracking and lists the onboarding and update forms that trainees have submitted. The line under the title tells you how many are pending and how many are urgent. Click any row to review that check-in.

Quick stats

Four cards sit above the table. Each one is also a filter. Click a card to show only those forms, and click it again to clear it. The cards describe the whole queue you can see. They follow the form type and the search box, and they ignore the date filter and the Pending, Handled, All chips.

The table

Waiting time and urgency

The colour bar on each pending row shows urgency:
  • Green: filled less than 24 hours ago.
  • Orange: waiting 24 hours or more.
  • Red: waiting 48 hours or more.
Click the Waiting header to switch between Longest wait first and Shortest wait first. Handled rows are faded so the pending ones stand out.

Find the forms you need

  • Chips. Pending, Handled and All switch between open and finished forms. The screen opens on Pending.
  • Form type. All forms, Update or Onboarding.
  • Search. Type in Search trainee or coach….
  • Filter. Opens a date filter with two tabs, Sent and Filled. Use a preset (Today, 7 days, This week, This month) or click two days in the calendar. The first click sets the start and the second sets the end. Clear all removes every filter.
The counter next to the filter shows how many forms match.

Attention flags

Flags point at trainees who may need a closer look. They are worked out from the trainee’s tracking data, not from the form answers. Flags are refreshed in the background, so a new weigh-in or workout can take a while to change them.

Which trainees you see

What appears in the queue depends on your role. The same rule applies everywhere in check-in tracking: the queue, the review screen, the tracking charts and the insights. A link to a check-in you are not allowed to see opens as not found.

Filter by coach

If you can see every trainee, a coach dropdown appears next to the search box. It starts on All coaches. Pick a coach to narrow the table and the stat cards to their trainees. Admins also get a coach list inside Filter for picking several coaches at once. Staff who only see their own trainees get neither, because the queue is already theirs.
The coach shown on a row is normally the trainee’s lead coach. If an admin reassigned that one form to someone else, the row shows that coach instead.

Remove forms from tracking

You can clear forms out of the queue, for example old forms that no longer need feedback.

Select the forms

Tick the checkbox on each row. Select all selects every form that matches your current filters. Click it again to clear the selection. The bar shows how many are selected.

Click Remove from tracking.

The window asks Remove from tracking? Click Remove.

What is kept

Removing a form only hides it from this queue. Nothing is deleted.
  • The form stays in the trainee’s Form history with all its answers.
  • Weigh-ins saved from the form stay in the trainee’s weight history.
  • Photos saved from the form stay in the trainee’s gallery.
  • Notes and feedback already written on the form are kept.
  • The form still counts in the trainee’s update numbering and in the tracking charts.

Limits

  • You can remove up to 200 forms in one go. For more, repeat the step.
  • You can only remove forms you are able to see. A coach cannot remove another coach’s forms.
  • There is no button to put a removed form back in the queue. You can still open it from the trainee’s Form history.
Form history imported from AutoFit is also kept out of the queue. It stays in the trainee’s history and in the tracking charts.
