Every form you send, whether an intake form, a one-off questionnaire or the recurring check-in, is filled inside the app. The trainee does not need a link or a browser.

How a trainee finds a form

A waiting form shows in three places.
  • A notification. When a form is sent, and again as a reminder if you set reminders. Tapping the notification opens the form directly.
  • A popup when the app opens. It reads You have a form to fill in, or You have N forms to fill in when there are several, and names the most urgent one: the form with the nearest due date. The buttons are Fill in the form and Later.
  • The home screen. The Forms to fill card lists every waiting form until it is submitted.
The popup appears once each time the app is opened from closed. It waits until the permission questions at sign-in are done, and it never interrupts a running workout. Later closes it until the next time the app is opened.

The form screen

The top shows the form name. A form with several pages shows Page 1 of 3 and so on. A form with one page shows its description instead. Questions appear one under the other. Pages and questions hidden by a condition you set in the form builder are skipped, and the page counter only counts the pages this trainee actually goes through.

Question types

A form can also contain parts that are only shown and not answered: text blocks, a message from the coach, a Read more block that expands, and images or videos.

Moving through the form

The footer has two buttons.
  • Next moves forward. While the page still has a required question without an answer, Next jumps to that question and puts the cursor in it. When the page is complete, Next goes to the next page.
  • Previous steps back to the previous question, and from the first question to the previous page.
On the last page, once everything is answered, the button reads Submit form. If you set your own button text in the form builder, that text is shown.

Required questions

A required question that the trainee passed without answering gets a red frame that pulses, and a notice appears above the buttons:
  • One field is unanswered, please complete it to continue, or
  • the number of unanswered fields with please complete them to continue.
Go to field in the notice scrolls to the first one. The app does not paint the whole form red at the start. A question is flagged only after the trainee has been in it and left it empty, or after they tried to continue. Messages under a question explain what is wrong: Before sending, the app checks the whole form again. If an earlier page became invalid, it takes the trainee back to that page and question.

Drafts are saved automatically

Every answer is saved on the phone as it is typed, together with the page the trainee is on.
  • Leaving the form, closing the app or restarting the phone does not lose the answers. Opening the form again continues from the same page.
  • A draft is kept for 30 days.
  • The draft is deleted when the form is submitted.
  • If you change the form after the trainee started it, their draft is dropped and they start again, so old answers never land in the wrong questions.
Drafts stay on that phone. A trainee who starts on one phone and continues on another starts from an empty form.

Leaving a form

The X at the top closes the form and keeps the draft. On Android the phone’s back button is switched off inside a form, so a swipe or tap by accident does not close it. The X is the way out.

Uploads inside a form

Photos

Upload image offers the camera or the gallery. The photo shows in the question right away while it uploads in the background, marked Uploading…. Switch photo replaces it. If the upload fails, the question shows Image upload failed. with Try again, and the photo does not need to be picked again. Photos are shrunk on the phone to a longest side of 1,600 pixels before upload.

Videos

Upload video offers Record video or Choose from gallery. When done it reads Video uploaded.

Limits

One file can be up to 15 MB. A bigger file shows This file is too large. Choose a smaller one. This mostly affects videos. A short clip works. A long or very high resolution one does not. While an upload on the current page is still running, the main button reads Uploading… and waits, so a form cannot be submitted with a photo half sent.

Submitting

After Submit form the app shows a popup titled A message from your coach. It carries the thank-you message you wrote in the form builder. If you wrote none, it reads Got your form, I’m on it! Close returns to where the trainee came from. If sending fails with no connection the app shows Form submission failed, please try again. The answers stay in the draft. If the server rejects a specific answer, the message names that question.

What a submitted form updates

Some answers do more than sit in the form.
  • Weight adds a weigh-in to the trainee’s log and updates their current weight.
  • Body measurement adds that circumference to the log.
  • Image upload adds the photo to the trainee’s photos.
  • Age, height, birth date and goal update the trainee’s details.
  • Food preferences become the trainee’s food exclusions, as long as nobody has edited the list directly. Once the trainee or the coach saves the list from the profile or the trainee card, that saved list is the one in use and later form answers do not replace it.

Check-ins

A check-in is a form that repeats on the schedule you set. From the trainee’s side it is the same experience: a notification on the day, the popup, the home card, the same form screen. Reminders before and on the check-in day are sent as notifications, according to your studio’s notification settings. A trainee can mute them under Check-in reminders. See Notifications.
While a trainee’s plan is frozen, the Forms to fill card is hidden on the home screen.
