When a new trainee fills their Intake form, it lands in the check-in queue with the type Onboarding form · new. It is also counted on the New trainees · onboarding form card. An onboarding review looks like an update review, with two differences. There is no tracking history yet, and the main job is building the trainee’s first plans.

What is different

  • The form panel is titled Onboarding form. There is no previous update to compare with.
  • The Overview tab is not shown, because a new trainee has no logged data to chart.
  • The review opens on the Plans tab.
The tabs are Plans, Forms & changes, Subscriptions, Activity and SmartSend.

Assign plans from the library

On the Plans tab, use Assign from the library.

Find a plan

Switch between Training and Nutrition and type in Search plans….

Assign it

Click Assign. The plan is copied to the trainee and marked Assigned.

Personalise it

Click Open to edit to open the trainee’s copy in the plan builder. When you save, you return to this review.
Plans assigned here stay hidden from the trainee until you send them. The hint under each one reads Waiting to be sent · the trainee sees it only once you send it. This lets you read the form, build the plans and check them without the trainee seeing unfinished work.

Send the plans

When the plans are ready, release them from the bar under the form. The status line shows where things stand: how many plans are waiting to be sent, the date they are scheduled for, or All plans were sent to the trainee. If no plan has been assigned yet, the send button reads Assign a plan first.

Finish the review

Sending the plans and finishing the review are separate steps. After the plans are sent, click Finish review / write feedback to open the composer, then write your note or message and finish handling. See Send feedback. A typical order:
  1. Read the intake form.
  2. Assign a training plan and a nutrition plan from the library.
  3. Open each one and adjust it to the answers.
  4. Send the plans, or schedule them for the trainee’s start date.
  5. Write a welcome message and finish handling.

Answers that update the trainee card

Intake forms usually carry fields with Save to client card turned on, such as weight, height, birth date, goal and photos. Those answers are already on the trainee’s card by the time you open the review. See Responses. If the intake form includes Food preferences, the trainee’s exclusions are saved with the response. Check them before you build the nutrition plan.
