Open Business settings, Team. The page lists everyone who works in the studio, their role, when they were last active and their permissions. Everyone in the studio can open the page. Only the owner and admins can invite, change roles, edit permissions and remove people. Others see the note “Only admins invite team members and edit permissions”.

The three roles

What only the owner and admins can do

  • Invite, edit and remove team members.
  • Open General, Billing, Subscription and Pricing, Notifications control, Integrations and AutoFit migration.
  • Create, edit and delete subscription plans.
  • Save branding and studio settings.
  • Change the Perform plan and add team seats.

What protects the owner

  • The owner’s row has no role switch and no actions menu. Nobody can demote or remove the owner from the Team page.
  • Only the owner can change the owner’s own details.
  • Each person can always edit their own details.

The team table

The heading above the table shows the number of active team members.

Change a role

Press the role on the person’s row and pick Admin or Team member. You see “Role updated”. Making someone an admin gives them everything at once. Their individual permission settings stop mattering.

Permissions for a team member

Open the actions menu on a row and choose Manage permissions, or set them while inviting. There are five groups. Each has a narrow option and a wide option. There is also Allow giving a discount, with a maximum from 5% to 100%. A new team member starts on the narrow option in every group, with discounts off.

Trainee management

This is the setting with the biggest effect on daily work.
  • Assigned trainees only: the person sees and works with only the trainees they are assigned to. Other trainees do not appear on their board, in search, in the check-in queue or through a direct link. In-app messages reach only their own trainees. They cannot hand a trainee to another coach or take another coach off a trainee.
  • All trainees: the person sees every trainee in the studio.

Training and nutrition plans

With Use existing templates, the note in the dialog explains the intent: they pick a template for a trainee and can tailor it personally, for training and nutrition. Creating and changing templates is for admins.

Subscriptions and pricing

The Subscription and Pricing page is open to the owner and admins only, whatever this setting says. A team member can assign an existing plan to a trainee from the trainee card.
What Perform enforces today, as far as the product code shows: the Trainee management setting, and the admin-only pages and actions listed above. The other four groups and the discount limit are saved with the team member and shown on the Team page. Set them to match what you expect from the person, and tell the person what you agreed.

Team members from before permissions

A team member who was never configured on this page keeps full access to all trainees. They are narrowed only after an admin saves permissions for them. If you rely on Assigned trainees only, open each team member once and save their permissions.

Edit a team member’s details

Open the actions menu and choose Manage permissions. The dialog Edit team member lets you change the first name, last name, job title, email, phone, member type and permissions. Press Save changes. The changes show up everywhere the person appears.

Team size and your Perform plan

Your Perform plan includes a number of team seats. Inviting past that number opens the plan limit message. See Invite team members and Billing.
