Every Create task step has an Assign to setting. It decides whose Work Board the task lands on.

The options

Unassigned and Whole team behave the same on the Work Board. Both create a task with no named assignee, and a task with no assignee is visible to every team member under any filter.
A new Create task step starts on Specific team members with nobody picked. Pick at least one person or change the option. Until you do, the flow is not saved.

Shared tasks

A task can have more than one assignee. This happens when:
  • The trainee has several trainers and the step uses Responsible coach.
  • You ticked several people under Specific team members.
  • The studio has several head coaches and the step uses Manager.
A shared task is one task, not a copy for each person.
  • Every assignee sees it under My tasks.
  • The first assignee is the owner.
  • Only one of them needs to complete it. When one person marks it done, it is done for all.
To give two people separate tasks that each must complete, add two Create task steps with one person in each.

Assignees stay in sync

Responsible coach tasks follow the trainee’s trainers. When you add or remove a trainer on a trainee, the open tasks for that trainee are updated to match. A check also runs every hour as a safety net. Specific team members tasks only go to people who are still active team members when the task is opened. A person who left the studio is dropped. If everyone you picked has left, the task is opened with no assignee, so the whole team sees it. Tasks that are already closed are not changed.

Who should get what

Filtering by assignee on the Work Board

On the Tasks page, the assignee menu has My tasks, All team and each team member. A shared task appears for each of its assignees. See Work Board. The dashboard’s Tasks by team member panel counts a shared task for each of its assignees.
