A task is finished in one of two ways. Mark done means you handled it. Dismiss task means it did not need handling. Both move the task out of the open list. You can still see it by turning on Also show done / dismissed.

Mark a task done

Open the task or use the row button

Click Mark done in the task, or use the check button on the task’s row in the list.

Write the handling note, if asked

For Form filled, Form awaiting response and Low rating tasks, a window opens and asks you to describe how the task was handled or what changed in the plan.The note needs at least 10 characters. A counter shows how many you have typed. The note is saved in the trainee’s form history, so the next coach can read what was done about that submission.

Undo if needed

A message confirms the task was marked done and offers Undo. Click it to reopen the task.
In the handling note window, press Ctrl+Enter or Cmd+Enter to confirm without reaching for the mouse.

Dismiss a task

Open the task and click the Dismiss task button. The task closes with the status Dismissed. No note is asked for. Use dismiss for tasks that are not relevant, for example a birthday task for a trainee you already greeted in person.

Reopen a task

  1. Turn on Also show done / dismissed.
  2. Find the task in the Done / dismissed group.
  3. Click Undo on the row or inside the task.
The task returns to its priority group as an open task.

Tasks that close by themselves

Many automated tasks close on their own when the reason for them is gone. For example a No logged workouts task closes after the trainee logs a workout, and a Subscription expiring task closes after a renewal. The check runs once an hour. Tasks that record an event never close by themselves: Form filled, Form sent, Form feedback, Low rating, New trainee and Subscription assigned. Manual tasks and Message tasks also stay until you close them. See Task types for the full list.

When Perform suggests closing

Some actions inside a task resolve it. For example you add a renewal from a Subscription expiring task, or you reactivate a paused trainee. Perform then asks “Mark the task as done?” with a Mark done button. It does not close the task without asking. Sending feedback on a technique video from inside the task closes that task.

Quick actions

The buttons at the top of a task depend on its type. An action only shows when it makes sense. For example Send onboarding form is hidden once the form was sent.
Send push is greyed out when the trainee has no device registered for push. The hint tells you WhatsApp is the better channel for that trainee.

Technique video tasks

  1. Open the task and play the video.
  2. Write your notes under Send technique notes.
  3. Click Send feedback to the app.
The trainee sees your points the next time they are about to perform that exercise. The task closes after the feedback is sent.

Who can close a task

Any assignee can close a shared task. It closes for everyone assigned to it. Some parts of a task are only shown to the trainee’s assigned coach. When you open a task for a trainee you are not assigned to and your access is limited, that part reads “Available to the trainee’s assigned coach”.
