There are several places to message trainees. Which one to use depends on how many people you are writing to and which channel reaches them.

Send an in-app message to many trainees

Select the trainees

On the Clients page, tick the trainees you want. The selection bar appears at the bottom.

Open the message window

Choose the send message action on the selection bar. The window title shows how many trainees will get it.

Compose

Type the message under Notification text. Click the Name chip to insert the name parameter at the cursor. It is replaced with each trainee’s own first name when the message is sent.Click Continue.

Preview

The preview shows the message as it will look in the app, with real names from your selection filled in. It shows a few samples, not every recipient.

Send

Click Send in-app message. The last screen tells you how many trainees it was sent to.

What the result screen tells you

  • A count of trainees the notification was sent to.
  • How many recipients did not receive it because they have no connected app.
  • “No notification was sent” when none of the selected trainees has the app connected with notifications on.
  • A warning when Coach message notifications are switched off in Notifications control. In that case nothing goes out. See Notifications control.

Limits

  • A message can be up to 1,000 characters.
  • One send can go to up to 500 trainees.
  • A coach limited to their assigned trainees only reaches those trainees, even if more were ticked.
The message arrives as a Coach message notification. Its title and sound come from that notification’s settings. Trainees cannot mute coach messages in their app, so this is the most reliable push you have.

Message one trainee from a task

Open a task on the Work Board and click Send push. A short message opens with a ready text for that kind of task, for example a reminder that a form is waiting. Edit it and send. The button is greyed out when the trainee has no device registered for push. Use Open chat in that case.

Chat on WhatsApp

With SmartSend connected, the trainee’s WhatsApp conversation opens inside Perform:
  • On the Work Board, in the SmartSend tab of a task.
  • On the trainee’s card.
  • In check-in review.
On a lead card in the CRM, the Open in SmartSend button opens the lead’s conversation in SmartSend. You write and read there as you would in SmartSend. Open in SmartSend opens the same conversation in the SmartSend website. See Connecting WhatsApp for the setup.
WhatsApp only delivers free text to someone who wrote to your number in the last 24 hours. To start a conversation with someone who has been quiet, send an approved template from SmartSend.
When you send a document for signature, Perform creates a personal signing link. The document does not appear in the trainee app. Use the WhatsApp button next to the link to open WhatsApp with the link ready to send, or copy it and send it another way. If the trainee has no phone number, WhatsApp opens and you choose the chat yourself.

Feedback on a check-in

When you send feedback on a check-in, you choose the channels. The push goes to the trainee’s app. The WhatsApp option sends the same text from your connected SmartSend number. If SmartSend is not connected, or the trainee has no phone, the WhatsApp part is skipped and the feedback is still saved.

Through the AI Assistant

Ask the assistant to message a trainee and it writes a proposal for one trainee, by push or by WhatsApp. Nothing is sent until you confirm. See AI Assistant.
