Every trainee can have one coach, several coaches or none. The coaches are the people on your Team page.

Assign coaches on the card

Open the picker

In the card header, press the coach chips. For a trainee with no coach, press the chip that offers to assign one.

Tick the coaches

Tick or untick team members. Use Search coach when the team is long.

Check the chips

Your changes are saved and the chips in the header update. You see “Saved successfully”.

Assign coaches when adding a trainee

In the New client dialog, tick the coaches under Coaches. If the list is empty it reads “No coaches available. Add coaches to your team first.”

What the assignment changes

  • Who sees the trainee. A team member set to Assigned trainees only sees a trainee only when assigned to them. See Team and roles.
  • Who gets the tasks. Tasks set to the responsible coach go to the trainee’s coaches. When you change the coaches, the trainee’s open tasks move to the new coaches.
  • Who the trainee contacts. If the studio has no contact WhatsApp number, the trainee’s WhatsApp button uses the phone of their assigned coach. See Contact WhatsApp number.
  • What the board shows. The coach names appear on the trainee’s row and you can filter by Assigned coach.

Several coaches on one trainee

All assigned coaches see the trainee. A task shared between them is one task. Each of them sees it and only one needs to complete it.

Rules for team members limited to their own trainees

A team member set to Assigned trainees only can change coaches only in a narrow way:
  • They must stay assigned to the trainee. They cannot remove themselves.
  • They cannot assign the trainee to another coach.
  • They cannot remove another coach from the trainee.
A trainee they create is assigned to them automatically. Admins and team members set to All trainees have no such limits.

Trainees with no coach

A trainee with no coach is still visible to admins and to team members who see all trainees. To find them:
  • Simple filter: under Assigned coach pick No coach.
  • Advanced filter: Assigned coach is one of No coach.
When a team member is removed without handing over their trainees, those trainees may be left with no coach. Check this filter after removing someone. See Remove a team member.

Find a coach’s trainees

In the filter dialog pick the coach under Assigned coach and press Apply filters. Combine it with a status chip to see, for example, one coach’s inactive trainees.
